** This is a Hybrid Opportunity. 2-3 days onsite in our Duarte CA campus **
As a successful candidate, you will:
- The administrative program coordinator provides support to the program lead (physician or PhD) with the development & coordination of all program activities. Compiles and analyses complex information for inclusion in reports or presentation materials to support program metrics. Collaborates with medical, research, administrative, support, and nursing personnel to facilitate program activities.
- Supports the Program Director/PI with all administrative aspects of the Department/Division programs functions including program metrics, policies & procedures, and reporting of these metrics at department meetings.
- Assist Program Director/PI with the organization and implementation of new program strategies.
- Assists with calendar management and the organization of the program/PI collaborative/strategy meetings and documents decisions.
- Oversees scheduling and conduct of various Program/Division and all other meetings
- Assist with making travel arrangements and preparation and processing of business expense reimbursement reports
- Assists with submission of program recertification and annual progress reports.
- Serves as intermediary for institutional issues and communications related to the program.
- Provides administrative support to PIs for research being conducted under the program to include liaison with OSR to coordinate grants submissions, manage grant budgets, set up sub-contracts (when applicable) assist with preparation and submission of progress reports
- Assists in budget development by gathering, analyzing and reporting data. Provides projections and recommendations as requested. Monitors all grant, contract and discretionary account budgets in accordance with the institutional grants and contracts policies. Identifies and reports variances.
- Assists with contract processing, submitting purchase requisitions, tracking and reporting Purchase Order activities related but not limited to negotiated agreements
- Performs other related duties as assigned or requested.
Your qualifications should include:
- Bachelor’s Degree Preferred; equivalent and applicable experience may substitute for degree
- Three (3) or more years of progressively responsible experience in a healthcare environment, the conduct of health science research or an equivalent combination of education and experience.
- Understanding of medical terminology. MS Project or PM related software tools to support this portfolio.

Salary / Pay Rate Information:
Pay Rate: $33.00 - $50.28 / hour
The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate’s experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
